10th Annual SVA AGM February 7th

 2017 Minutes

  • Meeting called to order @7pm. 10 voting members in attendance with 8 guests. Dan Olive acting as Secretary, Jim Townley as chair and Martina for Treasurer’s report. Special guests included were Gary Holman, Adam Olsen and Brian & Sandra Bickford.
  • Introductions to everyone in attendance commenced.
  • Motion from Jim Townley to adopt 2016 AGM minutes. Approved unanimously.
  • Addition of presentation by Lynda Miller for ‘Little Free Libraries for Saanichton’ project under new business.
  • Summary of past year’s accomplishments:
    • Held the 2nd Annual Spaghetti Supper. Increased the number of tickets over last year to 100 and sold out. Knacker’s Yard put on a great performance. A great success.
    • Held the 6th Annual Central Saanich Family Festival. Brought in Games2U as a partner in addition to the sponsors from the previous year. The hamster ball game was very popular and it was our biggest summer event to date. Another great success.
    • Held the 12th Saanichton Community X-Mas. Breakfast totals over 200 served. Estimated $3k donation to Sidney Lions Food Bank.
    • Raised the 4th welcome totem summer of 2016.
    • Report of Treasurer by Martina Redman. Correction noted to financial report by Katherine Nutt for spaghetti supper for a $200 discrepancy in the math. Martina reviewed and confirmed that net cost should be $1,137.70. Still have one sponsor from x-mas event owing which will change the figures further in the positive column. There are a few membership renewals that are outstanding and will be followed up on in the coming weeks.
    • Presentation for Sandra Bickford re: ‘Generations’ project at corner of East Saanich Road and Wallace Road. Family is deeply rooted in the community back as far as 3 generations. Family owned a farm where the project currently resides. Wanted to keep the last piece of the original family land as part of the family legacy hence building an apartment complex rather than selling off the units. 48 units in total with the property being managed by Devon Properties with 17 units as already rented. Various amenities shared as well as an opportunity for those at the meeting to be invited to a private viewing on March 21st. Guest list agreed to be provided to Sandra Bickford.
    • Grant in Aid changed to a 5 year commitment with the municipality vs. annual filings. Amount approved is $4k until 2022.
    • Website Management – call out from Jim Townley to members to get content to Lynne.
    • Call out from Jim Townley re: need for new board members to step forward to share the responsibilities of running our society and its events. Lots of ideas offered by those in attendance with a common theme that we should do a push for additional members and volunteers.
    • 5th totem discussion. Last one took 2 years with Doug LaFortune and the board would like to explore alternate artists. Discussion ensued regarding the reasons for this and all agreed that we should look at alternate options. Ron Spelt raised issue of letting Doug know that this was our official position. He volunteered to speak with Doug to let him know.
    • Community Gardens update from Jan Carrol. The garden at Patterson and East Saanich is now completely under the maintenance and care of the municipality. After rejection by the property owner for the CIBC property to take over the gardens built by the volunteers of the SVA on their property, Jan coerced the municipality to fully take maintenance over this garden as well.
    • ‘Little Free Libraries for Saanichton’ project presented by Lynda Miller. Will require a builder for the actual library stands. Suggested a $75 credit from the SVA to those wishing to participate and put one up on their property. Books to be donated and exchanged.
    • Call out from Jim Townley to revisit regular community coffee sessions at Spelt’s.
    • Suggestion to do a more regular newsletter from Ron Spelt as a more effective means of communicating to the members of the SVA.
    • New Bike ‘n’ Ride discussion. Want to revisit in 2017 upon completion of the totem project. Bruce Greig still holding on to bike repair kit for our future project.
    • Discussion about parking issue within the village core. Norma Sealy expressed concerns over Thrifty Foods staff taking up the majority of the available parking in the village. Jim proposed idea of taking part of the park space at Saanichton Green for a parking lot. All in attendance agreed that this would be a good solution.
    • Nomination & election of members to the board. Jim Townley volunteered to stay on as President, Marti to step down as board member, Dan to stay on as a board member and act as temporary Secretary, Lynne to stay on board and look after digital communications. Treasurer position vacant at this time and continuing with board of 3. No other volunteers officially came forward at this time. Vote unanimously approved.
    • Meeting adjourned at 9:05pm.
